What Your Listing collects, why, and how it is looked after.

1. Who this covers

This policy explains how Your Listing handles personal information. It covers agents and their teams who use the service, and buyers and renters who use the listings, shortlists and enquiry tools those agents publish.

We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. What we collect

Agents and team members: your name, email address, phone number, agency name and logo, and sign-in details. If you sign in with Google, we receive your name, email and profile picture from Google.

Buyers and renters: an email address if you sign in to save listings or a shortlist; the listings you save and the notes you keep; any enquiry you send, including the name, phone and message you choose to include.

Listing content: the photos, floor plans, addresses and descriptions agents upload. A property address is not personal information about a buyer, but it may identify a vendor.

Payments: when an agency buys credits, our payment provider Stripe collects the card details. We never see or store full card numbers. We keep a record of the purchase, the amount and the last four digits.

Technical information: your IP address, browser and device type, and the pages and features you use. Public listing pages record visitor activity such as page views and which parts of a floor plan were opened, tied to an anonymous browser cookie rather than a name.

3. Why we collect it

To provide the service: signing you in, storing your listings, publishing your pages, delivering enquiries to the right agent and showing agents how their listings are performing.

To run the business: billing, support, security, preventing misuse, and understanding how the product is used so we can improve it.

To communicate: transactional emails such as sign-in codes, invitations, receipts and alerts you have chosen to receive. Agents can switch event notifications off in their settings.

We do not sell personal information, and we do not use it for advertising by third parties.

4. Who we share it with

The agent you enquire with: if you send an enquiry about a listing, your enquiry and contact details go to the agency that published it. Private notes you keep on a shortlist are yours and are not shared with the agent.

Service providers that help us run the product, each bound by contract to use information only to provide their service to us: our payment processor (Stripe, which you see at checkout), cloud hosting and database providers, an image storage and delivery network, an email delivery service, Google (for sign-in, maps and address search where you use them) and an AI provider for features such as reading room names from a floor plan.

Our database is held in Australia. Some of these providers process information outside Australia, including in the United States. Where that happens we take reasonable steps to make sure your information is handled in a way that meets Australian privacy standards.

We may also disclose information where the law requires it, or to protect the rights and safety of our users or the public.

5. Cookies

We use a small number of cookies, all set by us: to keep you signed in, to remember a trusted device so you are not asked for a code every time, to remember your light or dark theme, and an anonymous visitor identifier on public listing pages so an agent can see how many people looked at a listing. We do not use third-party advertising cookies.

6. Keeping it safe

Information is stored on infrastructure with access controls, encrypted in transit, and encrypted at rest by our hosting providers. Accounts can be protected with a second sign-in factor. Access inside our team is limited to people who need it to support you.

No system is perfectly secure. If we become aware of a data breach that is likely to cause serious harm, we will notify affected people and the Office of the Australian Information Commissioner as the law requires.

7. How long we keep it

We keep information while your account is open and for as long as we need it afterwards to meet legal, accounting and dispute-resolution obligations. Listing content is deleted a reasonable period after a workspace is closed. Anonymous analytics may be kept in aggregate.

8. Your choices and rights

You can see and update your account details in the product. You can ask us for access to the personal information we hold about you, ask us to correct it, or ask us to delete your account. We will respond within a reasonable time and will explain if there is a reason we cannot do what you ask.

If you have a concern about how we have handled your information, contact us first and we will try to resolve it. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

9. Changes and contact

We may update this policy from time to time. The date at the top tells you when it last changed, and we will let you know in the product if a change is significant.
